codemantra COVID-19 Response

May 10, 2021

To Our Customers & Partners,

Further to my previous letter dated 3 May, I wanted to provide an update on the progress we have made in mitigating the impact of the second Covid-19 wave on our employees and day-to-day transactions. The situation in Chennai and the rest of India continues to be grim with the number of active cases spiking with each passing day. Despite the surge, there have been minimal (if any) interruption to our current project management. Through our continuing, consistent, and persistent internal communication efforts, we have been educating the workforce on best practices for Covid-19 prevention and encouraging them to get vaccinated. However, due to a shortage of Covid-19 vaccines in the country, the majority of them have yet to be vaccinated.

In addition, HR has set up various organization-wide Emergency Response Teams (ERT) to:

  • ensure the well-being of all our employees and their family
  • confirm if any employee affected with Covid-19 is receiving the appropriate medical care and whether they require any additional support/guidance from the organization
  • communicate any employee’s absence to respective stakeholders to ensure business continuity
  • guide/direct employees to get vaccinated and to assist them with vaccination reimbursement

Although our employees continue to work from home, we don’t foresee any impending challenges. Our production and services teams continue business as usual despite the challenging circumstances. And there are contingency plans in place to ensure the quality of deliverables are not compromised and that deadlines are met.

We will continue to monitor the situation closely and be in constant touch with you to provide updates on your ongoing projects. And I request you to be patient with us and hold all of India in your thoughts and prayers.

Chief Executive Officer

The taskforce will be headed by HR. Some of the actions already initiated are:

  • An employee communication and team leaders’ group on WhatsApp.
  • The taskforce has (and will continue to) put together detailed and reliable Covid-19 resources including the availability of beds, oxygen cylinders, etc.
  • The management will continue to cite credible sources (scientific research, medical expert opinion, etc.) to help answer questions and address concerns related to vaccination.
  • Reimbursement of vaccination-related expenses for all of its employees and their family members.

The taskforce will be spearheaded by the Head of Marketing with support from the rest of the leadership. This unit will be in constant touch with the customer stakeholders and update the concerned teams on the current state of affairs and potential impact on the ongoing projects.

This taskforce will be headed by the leaders of the Operations & Engineering divisions who will map detailed resource tracking, absenteeism, and potential transition responsibilities and engage with the customer communication unit on a periodical basis on new developments.
